On-site Administrative Assistant

SUMMIT Inspection Services Ltd. is seeking a multi-tasking, outgoing person with superior attention to detail to fill a full-time hourly Onsite Administrative Assistant position at our rapidly growing Oil and Gas inspection service’s company.  Regular travel out of town is required for a 14 day on and off shift. SUMMIT Inspection Services Ltd. has provided in-service pressure vessel inspections to the Oil and Gas industry across western Canada since 2004, and is seeking a friendly and team oriented person to assist us in our future growth.

The qualified candidate must have prior administrative experience and be proficient in Microsoft Office products including; Microsoft Word, Microsoft Excel, Microsoft Outlook and Adobe Acrobat. The position will include the following:

Responsibilities:

  • Responsible for timekeeping of onsite staff updating badges inputting to data software
  • Responsible for booking flights and camp accommodations for all field personnel
  • Responsible for booking and renewing vehicle site and camp passes
  • Type, prepare and modify correspondence, customer specific reports and other documents
  • Perform data entry
  • Provide general administrative and clerical support including emailing, scanning, faxing and copying
  • Maintain regular communications with customers via e-mail and telephone on audit related activities
  • Create and edit MS Word and Excel document templates as required
  • Ability to maintain, track and file documents on basic databases
  • Assisting with miscellaneous projects as they arise when necessary

Qualifications/Requirements

  • Minimum two years’ experience as an administrative assistant
  • Experience as an onsite administrative assistant (considered an asset)
  • Proficient in Microsoft Office products including; Microsoft Word, Microsoft Excel, Microsoft Access, as well as Adobe Acrobat.
  • Emergency First Aid
  • Common Safety Orientation certification
  • Valid driver’s license
